Field Trip Policies
FEES AND PAYMENT
To qualify for field trip pricing, groups must have a minimum of 10 students. All bus drivers and one teacher per fifteen students are admitted free of charge. Additional adults/chaperones pay the same rate as students. A deposit for your program of $100 is due 14 business days prior to your visit. If the total amount for your visit is $100 or less, we will need full payment 14 business days prior to your visit. Payment must be received in order for the field trip to occur. If the Historic Sam Davis Home & Plantation does not receive the deposit or full payment (whichever is required) at least 14 business days prior to your trip, your trip will be cancelled. The deposit is a partial payment of your program fee and will be subtracted from the total amount due at time of arrival. We request one form of payment from the school upon arrival that includes admission fees for students, teachers, and chaperones. If it is not possible for chaperones to pay through the school, please inform them they need to arrive 15 minutes ahead of the school so they can pay in a timely fashion without affecting the field trip start time.
We schedule staff for education programs based on the number of students, teachers, and chaperones attending. Please have an estimated total upon booking your reservation and update us if it changes. We require a 48 business hour notice if your total number increases or decreases by 10 people. If the total number decreases by 10 people and you do not inform us at least 48 business hours prior to your trip, you will be charged based on the last confirmed group size.
The Historic Sam Davis Home & Plantation can accommodate groups of all sizes, but logistics will need to be discussed ahead of time if the group is larger than 100. In order to comfortably tour the house and participate in enrichment programs, groups over 25 (including teachers, students, and chaperones) will be split into smaller units, typically by classes. If your group is not made up of individual classes, these units should be prearranged by the group leader before the day of the field trip.
BUS DROP OFF
Please have your bus pull into the Visitor Center parking lot, where you will be greeted by staff members. (You will go past the Sam Davis Home, on your right, and past the offices and Visitor Center.) Please keep the students on the bus until a staff member instructs you to unload. The teacher with the payment will accompany a staff member to the Visitor Center to make the payment and turn in the Code of Conduct agreements. Once completed, the students will unload the bus and begin the field trip.
The Historic Sam Davis Home & Plantation requires one chaperone for every 20 students. Chaperones are required to participate in the program and assist the Site Interpreter in managing students. For more information, see the Chaperone Guide.
We have several acres on the property suitable for a picnic for groups of all sizes. In cold or rainy weather, the Creek House, if available, can be used for lunch. Picnic tables are scattered around the Sam Davis Home property for your convenience. Groups may also wish to pick a spot on the grass to picnic. Clean-up is the responsibility of the school group, and all trash must be disposed of in the proper receptacles, leaving nothing behind. A dumpster is located in the parking lot for large amounts of waste.
The Historic Sam Davis Home & Plantation gift shop maintains price points that are affordable and kid-friendly, with many items $5 or less, so plan your trip accordingly to allow time for all to shop. While in the gift shop, students must be accompanied by an adult at all times. Please inform your students that Tennessee has a sales tax of 9.75% and ask the students to have their money neatly arranged before going to the register.
STUDENT CODE OF CONDUCT
We expect all students to respect the Site Interpreter and chaperones as well as the historic structures and artifacts. Each teacher in the group is required to inform their students of the expected behavior and to sign and return a Code of Conduct at time of arrival.
Cancellations must be made in writing seven business days prior to the reserved date for the $100 deposit to be returned, less a $25 administrative fee. The Historic Sam Davis Home & Plantation will retain the full deposit if the cancellation is received less than seven business days prior to the reserved date. No refunds. For Hallowed Harvest field trips, the full deposit will be retained if the cancellation is received less than 14 business days prior to the reservation date. The Historic Sam Davis Home & Plantation reserves the right to postpone a field trip due to inclement weather. When Rutherford County Schools are closed for inclement weather, the Historic Sam Davis Home & Plantation is closed, and programs scheduled for that day will be rescheduled.
